1. Booking Procedure

1. After written agreement on the program and price, a deposit of 30% of the total trip amount shall be paid. Once received, Bluesheep Journeys will start the reservation of all services included.
2. The balance is due 42 days (6 weeks) prior to arrival date. An online link will be sent to the traveler to proceed approximately 2 month before.
3. Any delay in the payment can be prejudicial regarding the quality of the tour, Bluesheep Journeys denies any responsibility in this case, no complain will be taken nor any kind of reimbursement.

2. Booking amendment

1. On the program: Bluesheep Journeys and its team of travel expert is happy to create custom made trip. Any amendment on the program within 42 to 7 days prior to arrival will be subject to extra cost that must be paid before the arrival date. Bluesheep Journeys reserves the right to refuse to make any amendment on the program if asked within 7 days prior to arrival or during the tour.
2. On the dates: if an amendment is made before 42 days prior to arrival, only the flight tickets (if included in the program and if already issued) will be retained on the cost as they are not refundable. Within 42 days prior to arrival, cancellation terms will apply (cf. 3.a) Note: if the trip is postponed later than 12 month, price will be revised up to 10% according to inflation growth.

3. Trip cancellation
a) By the traveler.
If the travelers decides to cancel the trip, information must be sent by email. The following charges apply on the total trip cost:

1. From confirmation date until 42 days prior to arrival : 10% of total sales amount + airfares if ticket already issued
2. From 41 days to 28 days : 30%
3. From 27 to 15 days: 50%
4. From 14 to arrival date : 100%

Bluesheep Journeys will offer to transfer travelers to similar trips or will advise travelers to claim from their insurance should the cancellation be for reasons covered by their policy.

b) By Bluesheep Journeys

1. Bluesheep Journeys reserves the right to cancel the trip partially or entirely in case of natural disaster, political instability or any situation that can endanger the travelers' security.Our travel experts will do their best to amend the program in order to provide a service accordingly and with the approval of the traveler. In case of total impossibility, the trip can be postpone to an ulterior date, following the rules of 2.b or canceled (3.b).Note: Travel insurance covers most of major force cases.
2. For all fix group departures should the trip not meet the minimum Guaranteed to Run (GTR) number of travelers, Bluesheep Journeys reserves the right to cancel that trip. The latest point for cancellation is eight weeks (56 days) before the trip departure date. In such cases booking deposits can be returned in full less an Administration charge of 40 USD per person.Travelers can also transfer their deposit / balance on to a forthcoming trip. A new quotation and itinerary will be prepared with the travel expert.

4. Responsibilities

1. The traveler is required to send all document needed 28 days prior to arrival. Bluesheep Journeys can't be held responsible for any deterioration of the quality of the service due to a delay in the sending of the required pieces.
2. Bluesheep Journeys commits to provide the services included in the program. Any failure, due to our negligence and not due to major force, will lead to a compensation or a reimbursement of the service not provided. It may be necessary due to weather, local transport or various other reasons to make changes to your itinerary/route. Bluesheep Journeys reserves the right to do so - at the discretion of the group leader/ Trek Guide. No refunds will be considered on the basis of itinerary/route changes.
3. The traveler must have a travel insurance covering mountaineering activities on the day of arrival. If not, Bluesheep Journeys reserves the right to cancel the trip immediately without any compensation.
4. The traveler should be declared fit to travel and participate to the activities included in the program by a certified doctor. Bluesheep Journeys reserves the right to cancel the traveler's trip at any point during the trip should it become evident that the traveler had withheld personal or medical information which may affect their ability to complete the trip and /or compromises the safety and well-being of the group, the staff or others on the trekking route. Should your medical questionnaire indicate that your doctor does not deem you fit enough to undertake a trek we will refund your deposit in full except the Admin fee of 40 USD and airfare charges. Your medical questionnaire must be completed and returned to the office before final documents can be issued.

5. Code of conduct
Any type of misconduct: violence, vulgarity, disrespect to the staff, other participant or anyone else, illegal behavior, drug use, alcohol abuse, or disrespect of staff recommendations, Bluesheep Journeys reserves the right to exclude the transgressor of the trip without any compensation.

6. Flight delays
Bluesheep Journeys can't be held responsible for any delays or schedule change made by airline companies, both international and domestic. Our travel experts will do their best to adjust the program accordingly. This doesn't open to any kind of reimbursement or compensation.

7. Trip costs
The quoted trip cost is accurate at time of booking and we do our utmost to maintain fair costs. However some matters are beyond our control and we reserve the right to increase our total trip cost up to 28 days before the arrival date as a result of major currency fluctuations, increased fuel costs, airport taxes, increased airfares or increased entrance/permit fees.

8. Items not included in trip costs (unless specifically mentioned)

1. Passport and Nepal visa fees
2. Airport taxes
3. Meals not included in quoted itinerary and cost
4. Entrance Fees to sites
5. Personal items - laundry, postage, personal expenses, medical expenses on tour.
6. Emergency evacuation charges
7. Excess baggage charges
8. Personal travel insurance

In signing this booking form, I also acknowledge and confirm the following:
I commit to respect the rules enacted in this document and acknowledge the inherent risk of travelling and trekking in the Himalayas.
I agree that if I suffer any injury or illness Bluesheep Journeys may, at my cost, arrange medical treatment and emergency evacuation services as they deem essential for my safety.

I confirm that I am over the age of 18 years and that I have read and understood the terms and conditions of this contract and this agreement prior to signing it and I agree that this agreement will be binding upon my heirs, next of kin, executors, administrators and successors.
